Morning All,

Joining details for this weekends Festival at Henley follow. We have 2 teams travelling. More info below but I have to highlight a few key points.. we all know them…

1) Please arrive in good time 9am latest. Early arrival is very much recommended. The approach to Henley has been a nightmare the last few years for those arriving ‘later’, it will be busy again.
2) Use Car Park 2.
3) Check your player has a waterproof, all their studs in good condition, mouthguard (mandatory) and water.
4) Do not enter the field of play for ANY reason. The referee will give permission to do so. This is a serious welfare instruction and includes coaches, spectators and subs.
5) Please keep any support positive to both teams (you always do)

PARKING
Car-Parking £2.00 per car to include a copy of the festival programme.
PLEASE USE CARPARK 2. - There are two car parks.
Car Park 1 - for U7 & U8 teams
Car Park 2 - for U9, U10, U11 & U12 teams.
Car Parks are allocated next to the team pitches, to avoid minimal movement across the road.
Look out for signs on your approach to the club that will direct you to parking.

Where possible, we encourage you to share cars or travel by coach.

Please be advised that parking is at your own risk and HRFC cannot be held responsible for ay
loss or damage.


Arrival
Please arrive with your player ready to warm up no later than 9am. We will have the age group shelter with us… you cant miss it, great big black tent with the club logo on it!

TOURNAMENT START & FINISH TIME

The first match for each age group will commence at 10:00.

The festival is due to finish by 15:30.


TEAMS ENTERED INTO U12 (2 POOLS)
Alton, Chiltern, Ealing, Henley x 2, London Welsh x 2, Maidenhead, Marlow x 2, Newbury, Saracens x 2, Tadley, Tring x2.

FIRST AID AND CHILD WELFARE

Each participating team is expected to bring a first aider with them.

For your reference only; Ali, James LT and myself are qualified and attending (Nigel is also qualified)
Paramedic facilities are provided on-site, see attached site plan for location of medical tents.
An ambulance will be summoned for serious injuries.


EQUIPMENT - IMPORTANT
Players must bring clothing and equipment appropriate for the weather. Teams should come kitted up and ready to play with sufficient water for the day.

MOUTHGUARDS are MANDATORY. Please ensure your player has theirs with them before you leave.
Boots – Please check any studs are in good condition and not sharp. Please ensure your player has a full set in their boots before you leave. It’s an idea to keep a spare or two in your bag.

DISCIPLINE

Coaches, players and spectators are reminded of the Codes of Conduct and their requirements. Any disciplinary complaints regarding coaches, players, spectators or referees received by us will be treated in the same manner and treated with the utmost seriousness. Henley reserve the right to discipline any participant club as considered appropriate under the circumstances. Abuse of officials, players or other sectors may be subject to disciplinary action through formal proceedings via the club or county disciplinary panels.


PHOTOGRAPHY

By entering children into this tournament parents/guardians implicitly agree and accept that photographic images may be taken of their son/daughter during the normal course of rugby activity by accredited photographers and/or other parents/guardians. Images may be used in the local press or in club publicity, in line with the RFC guidelines for the welfare of young people in Rugby Union. Professional photographers will be at the Festival and photographs can be purchased on the day or online at a later date, via a secure website.


NO SPECTATORS will be able to to take photographs at the event (even of their own children) UNLESS they have signed the attached Event Registration Form and handed it into the relevant age group control tent and been issued with an official pass authorising them to take photographs.


NO DOGS ALLOWED
Henley operate a strict NO DOGS policy at the grounds during this tournament and this will be enforced - with the exception of guide dogs and other assistance dogs. Please ensure players and their parents are aware of this policy.

FOOD AND DRINK
There will be food available to purchase on site from the food court marquee and club house. However we recommend that you bring sufficient water for the day, snacks and a picnic if desired. BBQs are not permitted.

AWARDS
Participation medals will be awarded to all participants.
A ‘Fair Play’ certificate award will be awarded to the clubs demonstrating rugby values at each


MERCHANDISE
There will be a supply of merchandise including gum shields available for sale at the festival.

TOILET FACILITIES
There will be two blocks of portaloos located centrally on the U9-12 field. One of these is a disabled facility.

POOL DRAWS AND GAME TIME
Each age groups pool allocation and fixture schedule will be available at registration. No player will exceed RFU regulation age grade rugby maximum playing time.

TOURNAMENT RULES
Match times will be as per the fixture schedule issued for each age group.

Teams must be at the allocated pitch two minutes before the scheduled match time.

Teams that are more than 5 minutes late will be deemed as ‘no-shows’, will forfeit the match and have a 6-0 result recorded against them.

Referees will manage timings for their games.

Only the referee is allowed on the pitch with the players.

There is no injury time. Referees may stop time for serious incidents

Coaches are to remain off the pitch during all games, including breaks in play. They may attend to an inured player and come on at half time (where applicable).

The try differential rule will be applied for all matches. This means that if one team gets six tries ahead, the match will end and the score will be recorded.
The match may continue to full time, if both coaches and the referee agree but the score at the end of this extension to the game will not be put forward.
Substitutions are unrestricted with the referees knowledge.
